Cancellation and Complaints Policy

Effective date: September 30, 2026Last updated: October 13, 2026

01Purpose and scope

This policy explains Crestwyn Routine’s general approach to cancelling an agreed consulting service and raising a concern about the work. It applies to the listed workflow assessment, AI planning, documentation, coordination, and monthly review services, subject to the more specific terms of a written engagement.

Preparing a browser-only workflow brief does not order a service or authorize a charge. There is no paid booking to cancel merely because the website displayed a reference. This policy becomes relevant when a service has actually been agreed or a business communication concerns work being provided.

02How to request a cancellation

Send a clear cancellation instruction through the contact information at the end of this policy. Identify the client or business, the service, the relevant agreement or invoice, and the work you wish to cancel. State whether the request concerns the whole engagement, a scheduled discussion, or a future review period.

A browser-generated website reference alone may not identify a received business communication. Where possible, refer to an actual proposal, invoice, or correspondence thread. An authorized client representative should make the instruction so that it can be distinguished from an unrelated enquiry.

03Before work has started

If a client cancels before work has started, the parties should review whether a payment has been made and whether any separately approved, non-recoverable cost has already been incurred. An amount paid for work that will not be performed should not automatically be retained without an agreed or lawful basis.

Any deduction should be explained by reference to the agreed arrangements and relevant cost or work. This general policy does not create an undisclosed cancellation penalty. Mandatory cancellation or refund rights, where applicable, remain available.

04After work has started

If work has started, the cancellation review should consider the agreed scope, work actually completed, deliverables already prepared, and any approved cost that cannot reasonably be recovered. The client may remain responsible for the value of work properly performed before the cancellation takes effect.

A fair adjustment should distinguish completed work from unperformed work. Where an advance payment exceeds the amount properly attributable to completed work and approved costs, the remaining amount should be considered for return in accordance with the agreement and applicable law.

05Completed deliverables

A cancellation request does not automatically undo a completed and delivered consulting service. If the concern is that a deliverable does not reflect the agreed scope, explain the specific issue so that it can be assessed as a service concern rather than treated solely as a change of mind.

The appropriate response can depend on the scope, the inputs provided, the stage of review, and the nature of any omission or error. This may involve clarification, a correction within scope, further discussion, or another remedy required by the agreement or law.

06Changes instead of cancellation

If the required workflow or document package has changed, a scope adjustment may be more useful than cancellation. The parties should confirm the new requirement and any effect on fees, timing, or deliverables before additional work proceeds.

Changing an agreed task is not automatically a free extension of the original package. At the same time, an additional fee should not be imposed without a clear agreed basis. A written change record helps avoid uncertainty for both parties.

07Rescheduling discussions

If you need to change an agreed discussion or review time, notify us as soon as reasonably possible and propose alternatives where useful. Availability for a replacement time depends on the relevant engagement schedule and other commitments.

The website does not state a universal rescheduling charge or fixed attendance penalty. If a particular engagement requires special scheduling terms, they should be explained and agreed before the client relies on the appointment.

08Monthly review packages

Workflow Review & Improvement covers the review work agreed for a defined monthly period. Any renewal arrangement, notice expectation, or future schedule should be confirmed in writing. A monthly price shown on the website does not create automatic billing or an indefinite subscription.

To stop future review periods, communicate the instruction before further work is agreed or begins. Work already performed during a current period should be considered separately from future unstarted work. Any adjustment depends on the scope and arrangements for that period.

09Where Crestwyn Routine cannot proceed

An engagement may need to be paused or ended if required information is unavailable, instructions fall outside the agreed scope, necessary permissions cannot be obtained, or continuing would involve unlawful or unsuitable activity. The parties should discuss the reason and the practical effect on the remaining work.

If Crestwyn Routine cannot provide agreed unperformed work, any amount paid for that work should be addressed fairly under the agreement and applicable law. Work already completed and separately approved costs should be identified clearly rather than grouped into an unexplained charge.

10Raising a complaint

A complaint can concern the service scope, a deliverable, a communication, scheduling, pricing, billing, or the handling of information. State what happened, when it occurred, which engagement is involved, and what outcome you are seeking. Include relevant supporting material without disclosing unnecessary personal or confidential information.

A concise description of the issue is usually more useful than forwarding an entire unrelated client dataset. If a document is relevant, identify the specific part and the reason for the concern. Use the contact details below rather than relying on the local website completion display as proof that a complaint has been received.

11Complaint review

We aim to consider a complaint reasonably and in context. The review may involve checking the agreed scope, proposal or invoice, relevant correspondence, supplied inputs, draft history, and the deliverable concerned. We may ask for clarification where the information is incomplete.

The response should address the specific concern and explain the proposed next step. Possible outcomes can include clarification, a scope correction, a further review discussion, an appropriate billing adjustment, or another remedy supported by the agreement or applicable law. A particular outcome cannot be promised before the issue is understood.

12Response expectations

We aim to acknowledge a clear business complaint within a reasonable time and to provide a considered response after the relevant facts have been reviewed. The time required can vary with the complexity of the issue and the availability of the necessary information.

If a legal deadline applies to a particular request, that deadline takes precedence over a general service expectation. This policy does not invent a completed complaint record or claim that a concern has been received merely because a browser-generated reference exists.

13Refund handling

Where a refund or adjustment is due, the amount and the reason should be confirmed with the client. A refund should be handled through an appropriate agreed payment method and with enough information to connect it to the original transaction.

Do not submit card numbers, bank login details, passwords, or security codes through the enquiry description field. Any payment information reasonably needed to arrange a lawful refund should be handled through a suitable business process rather than an unrestricted public form.

14Unresolved concerns and rights

If you believe a response has not addressed the complaint, explain the remaining issue and any additional relevant information. Further discussion may clarify whether the dispute concerns factual performance, interpretation of scope, or another matter.

Nothing in this policy excludes mandatory consumer or contractual rights, limits a right to seek independent advice, or prevents the use of an applicable legal process. The governing arrangements and available remedies depend on the agreement, the circumstances, and applicable law.

15Records, updates, and contact

Information received through a cancellation or complaint may need to be retained to document the issue, investigate it, resolve a dispute, or meet a lawful recordkeeping requirement. Relevant information-handling principles are described in the Privacy Policy.

This policy may be updated for future engagements. A website change does not automatically rewrite a cancellation arrangement already agreed in writing. Contact Crestwyn Routine using the details below to identify the engagement and the instruction or concern you wish to raise.
